Summary: The Administrative Assistant provides high-level administrative and operational support to the Senior Vice President, General Counsel, and the Compliance, Legal Affairs, and Human Resources functions. This role is responsible for managing a wide range of administrative activities and project coordination, coordinating departmental operations, facilitating communication, and ensuring efficient execution of day-to-day business processes. The position requires strong organizational skills, attention to detail, professionalism, discretion in handling confidential information, and the ability to effectively prioritize multiple responsibilities while working with regular supervision. Essential Functions: - Provide professional administrative support to the SVP General Counsel and members of the Compliance, Legal Affairs, and Human Resources teams.
- Manage and maintain executive, departmental, and corporate calendars, including scheduling meetings and resolving conflicts.
- Coordinate and execute meetings, conference calls, and department events, including preparation of agendas, meeting materials, and logistics.
- Create, edit, format, and manage correspondence, reports, presentations, and other business documents using Microsoft Office, artificial intelligence (AI) and other approved business applications and technologies.
- Coordinate domestic and international travel arrangements in accordance with company travel policies and procedures.
- Prepare, submit, and track expense reports and reimbursement requests.
- Provide department phone and email coverage, including call screening, message management, and email triage.
- Initiate and process purchase orders, vendor payments, and contracting requests, including obtaining required approvals and coordinating payment activities.
- Support onboarding activities for new employees within the department, including scheduling, coordination, and serving as a departmental point of contact.
- Serve as a professional liaison with internal and external stakeholders, visitors, and business partners.
- Maintain departmental records, files, and documentation in accordance with company policies and confidentiality requirements.
- Provide administrative and operational support for departmental projects and special initiatives as assigned.
- Provide back-up administrative coverage and front desk/switchboard support as needed.
- Support department personnel with additional administrative tasks, project coordination and responsibilities as required.
- Perform other duties and special projects as assigned.
Required Education, Experience, and Skills: - High School Diploma/GED
- 3+ years of administrative experience supporting multiple individuals in a corporate environment
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational, planning, and time management skills with the ability to prioritize multiple assignments and meet deadlines.
- Excellent verbal and written communication skills.
- Demonstrated attention to detail and accuracy.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Strong interpersonal skills and ability to interact effectively with employees at all organizational levels and external stakeholders.
- Ability to work independently with minimal supervision while exercising sound judgment.
- Experience coordinating meetings, managing calendars, arranging travel, and processing expense reports.
- Familiarity with purchase order, invoice, contract administration, or procurement processes preferred.
- Ability to adapt to changing priorities and manage competing demands in a fast-paced environment.
Preferred Education, Experience, and Skills: - Accredited Bachelors degree
- Proficiency with AI and other advanced technologies
- Experience supporting senior leaders or executives preferred
- Experience in a corporate environment supporting Legal, Compliance, Human Resources, or other professional functions preferred.
The range displayed is specifically for those potential hires who will work or reside in the state of Illinois, if selected for this role, and may vary based on various factors such as the candidates qualifications, skills, competencies, and proficiency for the role. Salary Pay Range: $60,000 - $80,000 and eligibility for a 8% bonus target based on company and individual performance.
